Chief Isaac Group is seeking a highly organized and detail-oriented Office Administrative Assistant to support daily operations and ensure smooth office functioning. This role is central to the coordination of administrative tasks and includes support for Human Resources functions, such as maintaining employee records, assisting with onboarding, and supporting recruitment efforts. The ideal candidate is a proactive team player with excellent communication skills and a strong sense of confidentiality and professionalism.
Serve as the first point of contact for visitors and callers; manage incoming correspondence and direct inquiries appropriately.
Maintain and organize filing systems (electronic and paper-based) to ensure efficient document retrieval.
Order and manage office supplies and equipment; coordinate office maintenance as needed.
Schedule meetings, prepare agendas, take minutes, and distribute action items.
Support other departments with general administrative tasks and projects as required.
Assist with the onboarding process for new employees, including preparing documentation and coordinating orientation.
Maintain and update employee records and databases, ensuring accuracy and confidentiality.
Support recruitment efforts by posting job ads, scheduling interviews, and corresponding with candidates.
Help coordinate employee training, performance evaluations, and company events.
Ensure compliance with HR policies, procedures, and employment regulations.
Prepare reports, spreadsheets, and internal communications as directed.
Assist in processing invoices, timesheets, and other administrative accounting tasks.
Provide backup support to other administrative staff during absences or peak workloads.
Experience: Previous experience in an administrative or office assistant role; HR experience an asset.
Education: Post-secondary education in Business Administration, Human Resources, or related field preferred.
Communication: Strong written and verbal communication skills.
Technology: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with HR software is a plus.
Organization: Excellent time management and organizational skills; ability to multitask and prioritize effectively.
Confidentiality: Discretion in handling sensitive employee and company information.
Teamwork: Cooperative and professional attitude; strong interpersonal skills and cultural sensitivity.
